POSITION: SECRETARY

Deadline for Applications Extended to May 9, 2008

LENGTH OF HIRE : 1 YEAR (12 months) Contract

Starting salary FJ$ 25,703.00 per annum

Applicants must be a US Citizen and must be able to obtain and hold a secret security clearance to be eligible for consideration.

BASIC FUNCTION OF THE POSITION

Provides a full range of secretarial and administrative assistance on unclassified, classified and sensitive matters.  Serve as Webmaster for the Embassy’s SIPRET classified Website and Content Manager for the Embassy’s OpenNet Website.

MAJOR DUTIES AND RESPONSIBILITIES

1.  Performs all secretarial functions for the Deputy Chief of Mission (DCM)

-  As designated, receives and reviews all incoming correspondence, sorting in order of priority, flagging information of particular interest, proofreading documents received from other offices for the DCM’s signature, and forwarding correspondence for action. 
- Working from verbal, typed, and handwritten notes and using both classified and unclassified word-processing systems, prepares drafts and final copies of telegrams, reports, letters, memoranda, briefing papers and diplomatic notes. 
- Manages and maintains both classified and unclassified executive office filing system.
- Assists in managing the electronic country clearance (eCC) process – processing eCC approvals, updating the eCC telegram content, including the post profile, etc.
- Manages database containing summary information and both hard copies and electronic copies of all incoming and outgoing diplomatic notes.
- Makes official travel arrangements and prepares travel vouchers for the DCM. Prepares representational vouchers for the DCM.
- Manages the DCM’s daily schedule.
- Completes Time and Attendance for officers and Locally Engaged Staff working in the executive office.
2. Acts as receptionist for the Executive Office:    
- Receives all incoming telephone calls, handling as many as possible personally, directing all calls to appropriate sections for action; meets and greets visitors.
-   Orders office supplies and equipment and organizes repairs of office equipment; coordinates administrative arrangements for VIP visits and TDY visitors; coordinates, or assists with, special projects, events or functions as directed.
- Assists with design of cards, flyers for events and invitations.
- Assists Community Liaison Officer with Embassy events.
-   Provides secretarial assistance to all other sections on classified and sensitive but unclassified (SBU) matters as directed.
3. SIPRNET Website Tasks include:      
Webmaster for the Embassy’s SIPRNET Website (Classified)
Regularly reviews and updates the classified website using software provided by the Dept. of State.  Researches cables, local news and other sources to improve the website; creates and updates classified bios; gains approval from appropriate senior officers before making changes and additions. 
4. Acts as backup in the event of the absence of the Ambassador’s Office Management Specialist and the Protocol Assistant.
Required Qualifications
NOTE:  All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

1. Completion of Secondary School/High School is required.
2. Two years administrative/secretarial work experience and work experience in a computer related discipline is required.
3. Level V (fluent) in English is required
4. Knowledge of basic office procedures and PC’s, PC based software, plus E-mail and internet.  Must be familiar with electronic communication issues and database/website design and fundamental knowledge of computer applications in the area of Internet communications.
